Convince your employer

Interested in getting a company bicycle? Talk to your employer. Good to know: Our team will support you and your employer in all matters relating to leasing company bicycles.

Register

After your employer has successfully completed the registration process, you can sign up through our online portal via an individual link. Once you have received approval from your employer, you will receive an order code.

Use your order code to select your desired bicycle from one of our specialist dealers. You can choose any brand and type of bicycle.

Pedal to the metal

You will conclude a agreement for the use of the bicycle with your employer. The term of this agreement is 36 months. Upon request, bicycles can be purchased at a reasonable price at the end of your agreement.

What happens at the end of the 36-month agreement period?

●      You will receive an e-mail 4-6 weeks before the end of the leasing agreement informing you of the end of the period of use, which will include an offer to purchase the used company bicycle. 

●      If you accept the purchase offer, you will receive an invoice confirming the taxation of the monetary benefit arising from the purchase in accordance with §37b para. 1 EStG [Income Tax Act] with takeover by us (flat-rate taxation by third parties).

●      You can pay the purchase price/invoice amount by bank transfer/direct debit.

●      Your company will also receive a copy of the invoice as proof that we have taken over the non-cash benefit in accordance with §37b para. 1 EStG.

If the employee does not wish to purchase the company bicycle, it must be returned to us at the end of the agreement via a Lease a Bike specialist dealer.


What does the all-round protection include? Which events are covered?

Damage coverage

Our damage coverage includes all sudden and unforeseeable damage to or destruction of the leased property, such as by:

●      Theft, burglary or robbery

●      Operating errors

●      Minor negligence

●      Accidental damage

●      Vandalism

●      Defects in design, material or workmanship

●      Overvoltage, induction or implosion

●      Storm, frost, ice drift, earthquake or flooding

●      Damage to engine or battery

Mobility guarantee

In the event of a damage claim, the following coverage will apply (up to € 200 per year) in order to to guarantee mobility:

●      Costs for return transport of the bicycle and user to the point of departure/dealer in the event of loss of operational safety up to € 100

●      Costs for a rental bicycle from the 2nd day. Max. € 20 per day, max. € 100 per loss event

Maintenance package

The employee chooses between the Basic, Standard or Premium package. Each package contains an annual budget. In addition, we will invoice work performed on the company bicycle directly to the specialist dealer – including repairs that make the bicycle safe to operate (again), wear and tear repairs, and the annually required UVV check (for the basic and standard package) and Premium UVV check if the Premium package is selected. 

●      Basic: € 75 per year

●      Standard: € 150 per year

●      Premium: € 200 per year

Tyre damage is not an insured claim. These are also settled via the individual annual maintenance/wear budget. 

What happens if the employer’s continued payment of remuneration is interrupted?

In the event that the employer discontinues continued payment of remuneration, e.g. if the employee leaves the company for a longer period due to illness, parental leave or other possible reasons, we will be happy to work together to find the best solution for all parties.

These may include, for example:

●      Change of user. The employer offers the company bicycle to another colleague for the remaining term of the agreement. The employer takes all required internal measures for this. (e.g. supplementary agreements to the employment contract, handover of the company bicycle, etc.)

●      Early termination of the existing leasing agreement by mutual agreement for an important economic reason with possible takeover of the used company bicycle by you as an employee. Optionally, you also have the option of financing the purchase price via our FINANCE A BIKE product.

●      In the event of a change of employer, a transfer of the existing leasing agreement to the new employer is possible. After a credit check has been carried out, the agreement with all rights and obligations will be continued by the new employer and the company bicycle will continue to be provided to you for the remaining term.

●      Return. If none of the above applies to your case, the bicycle must be returned to your employer. We will then discuss the details of individual processing with your employer.

How does salary conversion work? How do you benefit?

In the case of salary conversion, you won't receive a part of the contractually agreed salary in cash, but as a payment in kind for the period of time during which the company bicycle is provided. 

This means that a change is made by means of a so-called supplementary agreement to the employment contract, in which your future salary is reduced by a fixed amount (usually in the amount of the conversion rate) for the duration of the transfer of use.

Which parts are considered wear parts?

Every Lease a Bike company bicycle receives an obligatory all-round protection package with an individually selected annual wear budget. All necessary repairs to restore operational safety as well as repairs due to wear and tear are charged to this account. The following wear parts, among others, are taken into account.

How do I report wear and tear repairs or an upcoming UVV check?

●      We will review the claim and give the dealer approval that the costs to be covered.

How is a theft report made?

Reports can easily be submitted by the specialist dealer via our portal.

●      The "Damage & Theft" button in the menu takes the specialist dealer to the online form.

●      This online form makes it easy to submit the theft report electronically.

●      The specialist dealer receives approval and confirmation of cost coverage after inspection and confirmation of compensation by the insurance company.

●      A selection/coordination with availability of a bicycle of the same type and quality can be made between the specialist dealer and the user until approval.

●      The invoicing of the new bicycle and also the payment is done by us.

●      The handover of the new bicycle requires prior, final approval by us.

Note on exchanging objects in the event of theft within the existing agreement with a bicycle of the same type and quality. The new bicycle only has to have the same purchase value, including accessories, as the stolen bicycle. 

In order to guarantee rapid processing of the theft report, it is submitted exclusively by the specialist dealer.

What does the all-round protection include and what is covered?

Maintenance package

The employee chooses between the Basic, Standard or Premium package depending on the selected bicycle and usage. Each package contains an annual budget. This is used to pay for repairs that make the bicycle safe to use (again) as well as for any wear and tear during the period of use. 

Even tire damage, as this is of course not a damage event in the sense of an insurance-related damage, is settled using the individual annual wear budget.

The budget per package is:

• Basic: € 75 per year

• Standard: € 150 per year 

• Premium: € 200 per year

The Basic and Standard packages also cover the required UVV check per year. The Premium package includes a premium UVV check with extended scope of services outside of the required visual inspection. The costs for this are also settled via the allocated budget.

What is considered and included in the damage/theft protection?

The company bicycle must be locked with, but not connected to, a commercially available brand-name lock, unless it is physically located in an enclosed area. Protection is provided 24/7. Damage/theft reports are to be made directly to us using a form. In the event of theft, a police report is mandatory. (File number) Your employer as lessee must also be informed immediately in the event of a claim. You can fill out this notification of claim form on your own or together with your specialist dealer, who will be happy to assist you. 

What are the warranty periods for the company bicycle?

The statutory warranty is two years. After expiry of this period, damage e.g. to the drive or battery on pedelecs/e-bicycles continues to be covered by our all-round cover during the term. Warranty and guarantee claims are always handled directly by the Lease a Bike dealer from whom the company bicycle was purchased.

Company car and a company bicycle?

A company bicycle and company car can also be used at the same time. The 1% method then applies to both the company bicycle and the car.

In contrast to a company car, the employee does not have to pay tax at 0.03 per cent per distance kilometre for the commute to work.

Electric bicycles, the engine of which allows for a speed of more than 25 km per hour, are to be classified as motor vehicles in terms of traffic law and the assessment of the monetary benefit is to be carried out in the same way as for a company car.

Are multiple company bicycles possible?

If, according to the employment contract, more than one company bicycle can be used privately free of charge or at a reduced price, the benefit in kind resulting from the provision of the company bicycles for private use is to be calculated for each company bicycle according to the 1% regulation.

Commuting allowance with a company bicycle?

The commuting allowance for journeys between home and place of work is generally to be granted at € 0.30/km regardless of the means of transport (§9 para. 1 no. 4 EStG).

How long is the term of a company bicycle leasing agreement?

The term of the contracts for company bicycles is generally 36 months.

Can an agreement be terminated prematurely?

Difference between residual value, purchase price, market price?

There is often a great deal of confusion about the meaning of these terms.

Residual value: This is a purely calculatory figure in leasing and is often confused with the purchase price at the end of the contract term.

Purchase price: This is the price at which the used company bicycle is sold at the end of the contract.

Market price: This refers to the price that is paid for a given good at a given time in a given market for a unit of that good. 

In the absence of a current general second-hand market for bicycles/pedelecs, unlike for motor vehicles, the Higher Tax Authority has set this market price at 40% of the recommended retail price gross after 36 months to simplify matters and in line with the depreciation table. However, it should be noted that in connection with the taxation of the pecuniary advantage, a lower value can be proven in the event of a difference between the purchase price and the market price.

What happens if the continued payment of remuneration is interrupted?

In the event that continued remuneration is discontinued, e.g. leaving work due to prolonged illness, parental leave or other possible reasons, we are happy to work with you to find the best solution for you, up to and including an individual, cost-neutral return for you as the employer, provided that one of the following options is not possible or does not apply. 

This can be, for example:

●      Change of user: Offering the company bicycle to another employee for the remaining term of the agreement and taking all measures required internally for this purpose. (e.g. supplementary agreements to the employment contract, handover of the company bicycle, etc.)

●      Early termination of the existing leasing contract by mutual agreement for an important economic reason with possible takeover of the used company bicycle by the employee. Optionally, the employee also has the option of financing the purchase price via our FINANCE A BIKE product.

●      In the event of a change of employer, a transfer of the existing leasing agreement to a new employer is possible. After a credit check has been carried out, the agreement with all rights and obligations will be continued by the new employer and the company bicycle will continue to be provided to you for the remaining term.

What is the expected purchase price at the end of the contract?

Lease a Bike offers the company bicycle to the employee on request at a currently expected purchase price of 10% at the end of the contract. We pay a lump-sum tax on the monetary benefit resulting from the difference between 10% of the expected purchase price and the currently set market price of 40% in accordance with §37b para. 1 EStG. Proof of the flat-rate taxation treatment by us is provided on the sales invoice of the used company bicycle. Thus, the employer is not required to make a lump-sum or individual taxation of the monetary benefit arising from the sale to the employee via the wages and salaries accounting itself.
